Helvetas Kyrgyzstan is looking for a Project Officer

Main tasks:

  • Manage administrative and financial aspects of all project’s workshops, trainings, round tables, presentations and other events
  • Entering M&E, grants, learning strategy and other project data and information into the designed databases and provide first analysis  
  • Designing different project templates, follow up on tasks to the field, prepare general information for the reports
  • Initial screen of financial documents for Helvetas KR and disposition of PSI cash assets on behalf of Helvetas KR
  • Paying transportation costs for PSI event participants
  • Collecting commercial offers and invoices from various vendors
  • Conducting marketing research for particular goods and services
  • Organizing tender process and preparing specifications for procurement of goods and services
  • Drafting Service Contracts with vendors
  • Regular reviewing of project’s assets inventory
  • Ordering office supplies and stationary, photocopying, binding, filing, other small office work as needed or requested,  
  • Arranging logistical support of missions, managing flight / visa / transport issues, assist expatriates / consultants / trainees / volunteers to settle and work in the country
  • Preparing orders on business trips, collecting financial documents and receipts
  • Order new books, journals, newspapers and documentation upon request by superiors
  • Translating of written and oral communication from/to Kyrgyz, Russian and English languages
  • Composing and distributing of invitation / minutes for presentations and conferences organized by PSI project
  • Compiling and distributing of project reports, leaflets and calendars to stakeholders, including cover letters
  • Giving general information to visitors / callers about HSI, DPI and PSI project
  • Cooperation with Communication & PR Officer, knowledge management and learning. Preparing, editing and submitting information for HELVETAS and DPI websites, Facebook pages, PAMOJA (online platform)
  • Providing information for press releases and success stories drafts
  • Collecting and maintaining contacts with relevant media representatives and providing guidance on necessary media coverage of project activities. Attending and representing the project in different learning events, regional workshops and online exchange platforms where applicable
  • Handling requests for information and data from beneficiaries, partners and stakeholders
  • Assisting in designing and preparation of materials for dissemination (handouts, brochures, booklets, etc.)
  • Providing inputs and feedback  in preparation of reports and project overviews
  • Updating, inventorying and organizing the library and documentation

Qualifications

  • Higher education
  • English (oral and written), Kyrgyz (oral and written) and Russian (oral and written)
  • Experience in international projects for at least 3 years
  • Experience in international NGO’s is preferable
  • Proven interpersonal and communication skills
  • Good negotiation and writing skills
  • Proficiency with office productivity software
  • Ability to travel to pilot municipalities and regions within the country
